Share a label
Sharing a label gives other people a live copy of its contacts in their own address book β in Google Contacts or Outlook, and on their phones.
Share a label
- Open the label you want to share and open the Share dialog.
- Add recipients. You can add:
- A person by email address. If you have granted the domain-users permission, Rolyio suggests coworkers from your company directory as you type.
- A domain group β the group is expanded into its current members.
- Your entire domain β everyone in your organization, including people who join in the future.
- Pick a role for each recipient: View, Edit, or Can reshare. See Roles and permissions for what each role allows.
- Confirm. Rolyio starts delivering the contacts on the next sync.
Recipients see a new group or category named βLabel name (Shared)β in their address book. Because it is a real Google contact group or Outlook category, it also shows up on their phones with no extra app to install.
Active and pending statuses
Each recipient in the Share dialog has a status:
- Active β the recipient has a connected Rolyio account, and contacts are being written to their address book.
- Pending β the recipient does not have a Rolyio account yet. The share is saved and completes automatically once they sign in. You can nudge them with a label invite β click the envelope icon next to the recipient in the Share dialog. See Invite your team.
Domain-wide shares also cover future accounts: when a new person in your domain signs in to Rolyio, they automatically receive every label shared with the whole domain.
Cross-ecosystem sharing
The owner and recipients do not need to use the same provider. You can share a Google label with an Outlook user and the contacts appear in Outlook as a β(Shared)β category β and the other way around.
Stop sharing
Remove a recipient in the Share dialog to unshare. The shared contacts are removed from their address book on the next sync. Duplicates are avoided by email-based deduplication, so unsharing does not leave stray copies behind.
